Turn the plan into shifts

Scheduling

Set up legal shift options, run a queue schedule and review how well it fits intraday demand.

Purpose

Scheduling turns a selected Queue’s interval staffing requirement into a weekly shift schedule. It uses the saved workforce groups, limitations, shift templates and Enterprise Rules, then improves demand fit while retaining legal assignments. Scheduling is an optional add-on; its pages appear only when it is enabled for the client.

Shift Templates

Shift templates are shared across Queues. Name each template and set its weekly hours, number of days worked, earliest and latest start, days available to work, shift type and lunch option. Available days are choices, not fixed working days: the optimiser selects the required number of days from them. You can edit, delete or duplicate a template.

A template marked for rotations can only be used inside a rotation. Create a named rotation by choosing rotation-only templates from the week-by-week lists. Start times may still vary within each template’s start window. To offer the same shift on its own as well, duplicate it as a standalone template.

Scheduling Setup

Select the Queue whose workforce you are setting up. Workforce groups and limitations are Queue-specific, even though the shift templates are shared. A group records contracted weekly hours and headcount; the page also shows limited and flexible heads. Add limitations for people who cannot work certain days or shift types, including a no-rotations restriction. Limited heads are excluded from rotations. Enterprise Rules define the scheduling standards, including lunch duration.

Check that the total heads and contracted hours are right, and that each group and limitation has a compatible shift option before running.

Run Schedule

  1. Choose one Queue and a future week commencing date.
  2. Wait for the readiness checks. These cover templates, weekly patterns and rotations, workforce groups and limitations, Enterprise Rules, and the selected Queue’s requirement.
  3. Resolve any warning on the Setup or Shift Templates page, then select Run schedule.
  4. Use the progress display while Prescio assigns the workforce and improves interval demand fit. The time estimate is approximate.

Every person must receive a legal weekly shift matching their contracted hours and limitations. A green setup check does not guarantee an ideal demand fit; the result must still be reviewed.

Review results

The results page shows the shift score, required and scheduled interval totals, under- and overcoverage, compliance checks and a demand-fit chart. It also shows the named template mix, grouped rotation summary, one-person-per-line shift detail and an export. The workforce-mix opportunities and next recruitment shifts are advisory; they do not change the saved schedule or workforce.

A completed run starts Awaiting review. After checking it, choose Make live to make it the Queue’s one live schedule. The previous live run is retained under Archived runs. Use Scheduling Overview to return to live, awaiting-review or archived results.

Interpretation boundary

The optimiser seeks a better interval fit within the saved rules and available shift choices; a high score does not mean every interval matches exactly. Review the chart and the detailed lines before publishing a run.
