Review the plan
Review & Outputs
Use Current Position, Plan vs Actual, Demand & Requirement and Capacity Plan to understand the agreed planning result.
Review & Outputs pages
Current Position
Purpose
Current Position is the quickest view of the overall planning health. Use it to identify where attention is needed before moving into detailed Workbench or Intelligence pages.
What it shows
Headline cards include:
- current position;
- first shortfall;
- peak shortfall;
- transformation benefit;
- current budget ceiling.
The page brings together:
- resolved requirement;
- effective workforce supply;
- budget;
- forecast health;
- Department-level risk.
How to use it
- Select the required Department or Enterprise view.
- Check whether the current position is balanced, in surplus or in shortfall.
- Note the first week in which a material shortfall appears.
- Compare the peak gap with the budget position.
- Review which Department is driving the risk.
- Move to Demand & Requirement, Workforce or Transformations to investigate
the cause.
Useful interpretation
A current Enterprise surplus does not mean every Department is safe. Capacity may be in the wrong place, so the Department cards and future low points are important.
The forecast-measures explanation defines:
- latest variance;
- WAPE;
- bias;
- RAG status.
Use this when interpreting whether forecast accuracy may be contributing to the capacity position.
Plan vs Actual
Purpose
Plan vs Actual compares historical plan values with subsequently observed actuals. It is the operational feedback loop for checking forecast and AHT performance.
What it shows
The page includes:
- comparison coverage;
- Queues included in the comparison;
- missing comparable data;
- latest demand variance;
- demand position;
- demand comparator;
- latest AHT variance;
- AHT comparator;
- historical trend charts and comparison detail.
How to use it
- Select a Department and optionally a Queue.
- Confirm that comparable data exists.
- Review which Queues are included or missing.
- Check demand variance and whether the plan is consistently high or low.
- Check AHT variance separately from demand variance.
- Investigate material or persistent differences in Forecast,
Transformations or Configuration.
Interpretation boundary
This page explains performance against a historical comparator. It should not be used to assume that every variance is a forecasting error. Differences may also arise from:
- a transformation going live;
- an operational event;
- a structural demand change;
- different AHT performance;
- incomplete comparison coverage.
When the evidence supports testing a different future assumption, use the Scenario option rather than rewriting Production immediately.
Demand & Requirement
Purpose
Demand & Requirement explains how forecast contacts become staffing requirement and how this compares with Department supply.
What it shows
Headline cards include:
- baseline requirement peak;
- requirement transformation effect;
- resolved requirement peak;
- first shortfall;
- peak FTE gap.
The page shows:
- baseline and resolved demand;
- baseline and resolved net requirement;
- available FTE;
- budgeted FTE where available;
- weekly FTE gap;
- a selected-week calculation bridge;
- driver explanations and ownership.
The calculation bridge
The selected week is explained in two layers.
Demand layer
Baseline forecast
+/− Demand transformations
= Resolved forecast
Requirement and supply layer
Baseline net requirement
+/− Requirement transformations
= Resolved net requirement
compared with Available FTE
= FTE gap
How to use it
- Select a Department.
- Use the chart to identify a week of interest.
- Click or select that week.
- Review the demand lineage.
- Review the requirement explanation.
- Check whether the variance is caused by demand, AHT, occupancy or supply.
- Follow the issue to Forecast, Transformations, Workforce or Configuration.
This is one of the most useful pages for explaining the model to another user because it makes the calculation layers visible.
Capacity Plan
Purpose
Capacity Plan provides the detailed 52-week workforce-capacity view. Use it for structured weekly planning and for reviewing the timing of Department requirement, supply, budget and gap.
What it shows
The matrix presents the planning horizon by week and Department. Depending on the selected view and available data, it includes:
- resolved net requirement;
- available and effective FTE;
- budgeted FTE;
- FTE gap;
- supporting planning measures.
The page also supports detailed demand-profile review where intraday profile data is available.
How to use it
- Select the Department or Enterprise view.
- Scan the 52-week matrix for sustained gaps rather than isolated noise.
- compare requirement, supply and budget in the same period;
- identify when recruitment or other workforce action must become effective;
- export the capacity plan when a working copy is required;
- use the source Workbench pages to change assumptions.
Capacity Plan is primarily an output and planning-review page. It is not the place to alter the approved forecast or create transformations.
